Consider where the question begins

If a customer is already reading a product page, an on-site conversation can reduce friction. Other situations may call for a channel the customer has explicitly chosen for follow-up.

Check team ownership

The important operational question is who sees the request, who is responsible for it, and how the next teammate receives context. Evaluate these points in any messaging workflow.

Respect channel preferences

Ask before moving a conversation elsewhere. Keep the communication relevant to the request, and use approved channels that fit your own operating constraints.

Put it to work

Choose one conversation your team handles regularly and review it from the visitor’s perspective. Identify the information needed, the person responsible for the next step, and the point where a short explanation would reduce confusion.

Try the change with a small group of realistic examples before expanding it. Review the quality of the resulting conversations, not just the amount of activity. Keep what helps your customers and simplify what creates unnecessary effort.

A useful question for the next team review: could a customer explain what happens next after reading our last reply?
